Introducing our new AI-Powered Smart Summary, designed to streamline patient intake, complex case reviews and pre-charting. Specialists like cardiologists, neurologists, and endocrinologists often deal with patients who have extensive medical histories and large volumes of data. This feature uses AI to scan, extract, and generate concise, actionable summaries, highlighting key information such as abnormal lab results, recent procedures, and medication updates. Whether it’s scattered reports, patients filled out paper forms, documents on a remote desktop or an eFax pdf, the AI helps save time, making it easier to focus on what matters most during the visit.
And most importantly, it even maintains patient privacy & compliance with privacy guidelines, by only including medically relevant information in the final summary.
Why We Built This
Collecting comprehensive patient medical information is essential for diagnosing and treating conditions accurately, we know how much time it can take to gather all the right information when onboarding a new patient or assessing a specific condition like dizziness. The process can be time-consuming, cause information delays, and make it difficult to digest all that data quickly. This feature aims to simplify the intake process by highlighting important information for faster, more informed decisions.
Primary Use Case
This feature is particularly useful for quickly reviewing a patient’s previous lab results or medical history, enabling you to start encounters with a well-organized summary. It can be used by clinicians or prepped by nurses or MOAs, especially during time-sensitive visits or when working with patients with complex histories.
How It Works
1. Upload Patient Form
Option 1: From Mobile APP
- Begin by opening the +New Visit from the main page.
- On the Encounter page, click on “EMMA” icon, on the top right corner
- Choose either to take a new picture of patient records or upload existing images on your device.
- Click "Generate Summary"
- Continue with "Start Recording"
6. You can also upload the file after the recording using "Supplementary Recording". Firstly, click the microphone button on the right upper corner.
7. Next, click on “EMMA” icon, on the top right corner. Please follow the above steps 3-5.
Option 2: From Chrome Extension
- Open the Extension and upload patient records in any supported format. (Supported file formats include PNG, JPG, PDF, and HEIC, up to 20 MB each.)
- You can also use the screen capture button to take a screenshot of a web browser window or a desktop. This feature allows you to capture information from a specific part of a page instead of having to download an entire file & then upload it to smart summary.
- Click Generate Draft Summary to let the system process and summarize the data.
3. You can also upload the file after the recording using "Supplementary Recording". Simply click the microphone button on the right upper corner. Follow steps 1-2.
2. Review: AI-Generated Summary as "Draft Encounter"
- Once processed, the "Draft Encounter" with the intake summary will appear on both the Extension and Clinician Portal.
- Review highlighted insights, including flagged abnormal values, to prepare for the visit.
Customization Options: Currently, summaries are generated in a standardized format, but clinicians can add or edit notes within the Draft Encounter summary.
3. Continue with the Visit
- Once the intake summary is reviewed, you can continue with the encounter recording, easily integrating the summary into your workflow and recording your consultation with the patient.
Best Practices and Tips
- Common Use Tips: Use the highlighted insights feature to focus on abnormal values or flagged items first, as these often require immediate attention.
- Frequent Missteps to Avoid: Ensure all images are clear and complete before uploading, especially for handwritten notes or paper records. Blurry or incomplete uploads may affect summary accuracy.
Tips for Efficiency:
- Mobile: Use the take picture option to quickly capture and upload records directly from paper documents.
- Extension: Pre-upload patient files if possible;
- If you have MOA: this process can be done by a nurse or MOA for efficiency. MOA can send the patient pre-chart note to the corresponding physicians in the group, so you have the summary ready at the start of the encounter.
Advanced Use Cases
- Complex Scenarios: For patients with extensive histories or numerous lab results, using the Smart Summary feature in advance, possibly with MOA support, can streamline your workflow and ensure critical data is readily accessible during the encounter.
- Access Remote Desktops: Easily review charts when traveling & use the screenshot feature to capture information from your remote desktop.

- What file formats are supported?

Summaries appear in the Draft Encounter on both the Extension and Clinician Portal. - Can I upload hand-written notes?
Yes! AI will also be able to extract and summarize hand-written notes - Are these documents automatically redacted before processing?
Not at this time. The documents are processed in their original form to preserve medical context and accuracy. However, they are handled with robust privacy safeguards, including encryption in transit and at rest, access controls, and automatic deletion after processing. - How do you ensure that patient data remains secure & compliant?
All uploaded documents are stored temporarily and securely in compliance with HIPAA, PIPEDA, and applicable provincial privacy laws.Data is processed in secure environments with access limited strictly to authorized systems. No document or derived content is retained beyond the required window for generating the summary unless explicitly saved by the physician. An audit trail of activity is maintained for full transparency. - What responsibilities do physicians have when using this feature?Physicians should only upload documents that are clinically relevant and intended for care delivery. Avoid uploading non-clinical or third-party documents (e.g., legal forms, insurance letters).
