Privacy & Compliance
1. Is your platform HIPAA & PIPEDA compliant?
A.Yes! Our software services are designed to comply with HIPAA's rigorous security and privacy standards. We employ technical, administrative, and physical safeguards to protect the confidentiality, integrity, and accessibility of all PHI data. In addition to HIPAA, we handle personal information in accordance with Canada's PIPEDA, along with all relevant provincial laws such as the Personal Information Protection Act (PIPA) of British Columbia. 2. How do you maintain privacy with features like Smart Summary which handles patient documents?
A. When processing uploaded documents, the system extracts only medically relevant information for patient summaries while excluding sensitive personal identifiers such as addresses, personal health numbers, insurance information and phone numbers. Additionally, the screen capture functionality allows you to capture only medically relevant values, significant findings, while limiting the PHI.
Recording & Documentation Features
3. What are the different recording modes on your platform? Can I dictate my note?
A. All our platforms - web, chrome extension and app - support multiple recording modes.
1. Start Recording - use this to record any in person conversation with your patient.
2. Record Televisit - use this to record a telehealth visit that is being conducted on another platform outside of Empathia.
3. Record Dictation - use this in situations where you would like to simply dictate your patient note. You have the option to capture it verbatim or simply speak as usual & let EMMA handle the formatting via our Structured Dictation.
4. Record Multiple Speakers - this is especially beneficial for clinicians where information needs to be gathered from different resources like caregivers, parents, other professionals in addition to the patient (currently available on the Chrome extension)
4. Can I conduct a Telehealth visit directly from Empathia?
A. Yes, our industry first Tele-med feature on the mobile app can conduct both phone & video telehealth visits. An encounter note will be auto-generated at the end of the call. Read details here.
5. Can I use my headset during the recording?
A. Yes! Headsets work perfectly with our integrated Telemed feature in the app and also with any other dictation modes within the platform. However, to record televisits on a different platform, you will need to use speaker mode.
6. What type of notes can Empathia generate?
A. We are glad you asked! You can auto-generate SOAP, consult letters, referral letters, discharge summaries, patient handouts (in different languages as needed) in your preferred format, from one recording - no additional clicks. Just set your preference once & the notes will be generated each time. You can also generate intake summaries, sick notes or additional letters like appeal letters, disability certificates, transfer notes based on your workflow.
For follow up visits, you can easily review information from past encounters using our Patient Profile feature or incorporate relevant information into the new encounter using the notepad/ past records section in the recording panel.
Templates & Customization
7. How do I make the notes sound more like my own?
A. We get it, your notes should not only maintain your personal style but also meet documentation guidelines, emphasize relevant information AND be easy to review at a later date. That's why we offer 3 different ways to customize your notes.
1. Adjusting your Note settings under the Personalization tab
2. Using templates. - either from our Community list or creating one of your own
3. Smart Edit - to give simple, quick instructions for EMMA to learn your style. For example - Use short form HTN instead of hypertension or write the objective section as bullet points.

8. Can I import my existing templates from my EMR?
A. Yes. You can easily import your templates by Copy-pasting directly into the platform or uploading template files in text, DOCX, or PDF formats. Don't have a template? No problem. Simply upload your favourite note in the template creator. EMMA will extract the structure without the PHI and create a template, so your notes will look the same each time. Read more here.
Reliability & Support
9. These features sound great - but how well do they work in poor internet connectivity?
A. We know that clinicians often travel to remote areas or experience patchy wifi connections. That's why we designed our robust recording functionality on the mobile app and Chrome extension. It will continue to record even if you are offline & store the information locally on your device. Once you are back online, the recording will be processed & your notes will be generated as usual.
